Under "Data protection → Data subject categories | Occurrence of data subject categories", data protection experts define how data subjects are categorized. These categories are then assigned to the processing activities which deal with the processing of personal data of that respective category. An example of this would be the processing activity "personnel administration", which processes personal data of the data subject category "staff".
Provision of information according to Art. 15 GDPR
A provision of information in accordance with Art. 15 GDPR for the respective data subject categories can be generated here. This document contains information about the processing activities in which the personal data of the selected data subjects are processed.
Example of providing information
Create or edit data subject category
To create a data subject category, click the "Plus" button in the overview.
To edit a data subject category, double-click it in the overview.
Name: Category name, such as staff, applicant, customer, supplier, etc.
Description: Here, you explain what the category is about. For example, the category customers can deal with people or companies. You can likewise create a special data subject category for each case.
Caution: Once created, data subject categories can only be deleted as long as they are not associated with any processing activity.
Occurrence of data subject categories
Due to the GDPR, every data subject has the right to access information about which of his or her data is currently being processed in your company. For this reason, HITGuard offers data protection experts the option to see where data of the data subject is processed under "Data protection → Data subject categories → Occurrence of data subject categories". Since it is also visible here in which applications this data occurs, it is possible to quickly find out where data is to be deleted in the event of a deletion request.
There are two ways to search for a specific data subject category:
- Use the search bar at the top right and search for the data subject category.
- Use the "funnel" icon to filter specifically for the desired category.
You will then see which data of the data subject are processed in which processing activities. The processes in which the data is processed are also shown. The data that is processed or the superordinate data categories are listed in parentheses.
